OPERATIONAL SLA PROTOCOL TX-REG-2021 // ENFORCED

We guarantee whistle-to-publish deadlines and match credit protection for every contract.

Our sports editorial newsroom operates under fixed hourly windows and contractual pitchside coverage commitments. Here is exactly what our desk guarantees, what our weather clauses cover, and how retainer credits behave across Texas match seasons.

Halftime Reel 15 Min Whistle
Vertical Reel Under 4 Hours
Field Shoot 18H Full Export
Weather Hold 0 USD Rebooking
Standard 01 // Turnaround Time Commitments

Strict Whistle-to-Publish Service Level Agreements

In sports media production, late content is dead content. A goal clip delivered three days after the referee's final whistle generates less than twenty percent of the organic reach of a clip published while fans and players are still checking scores. Penalnaro operates against non-negotiable delivery clocks tied to official match kickoff times.

For contracted matches, our halftime editorial dispatch is delivered to your designated club communications director or uploaded directly to your team account within 15 minutes of the referee blowing for halftime. This includes official starting XI graphic verification, first-half score confirmation, and up to two key action stills.

Finished single vertical video reels (444 USD per item) and matchday summary recap reels are fully color graded, mixed with live touchline audio, and delivered in high-bitrate 1080x1920 MP4 within 4 hours of the final whistle. Full photo galleries from our 500 USD mini photo/video shoot (2 hours) or 555 USD half-day tournament assignment (4 hours) are culled, metadata-tagged, and delivered via private cloud download within 18 hours.

Standard 02 // Weather & Postponement Guarantee

Pitch Postponements, Heat Stoppages, and Rescheduling Rules

Texas outdoor athletics regularly encounter severe weather interruptions, from lightning delays and standing water field closures in spring to triple-digit wet-bulb globe temperature cancellations in mid-summer. Penalnaro will never bill a club or academy for an assignment canceled due to official referee or municipality pitch closures.

If a fixture or tournament session is officially postponed by field officials or league directors at least 2 hours prior to our call time, your session deposit or allocated retainer credit is rolled forward to the rescheduled match date at zero additional fee. There are no rescheduling penalties or calendar forfeiture fees.

If lightning halts a match mid-game after our camera operators have begun pitchside shooting, we log all captured minutes immediately. If the game is abandoned before the 60th minute, we credit fifty percent of the session rate toward the replay fixture. If the match has completed 60 minutes or more, full media capture is processed and delivered under our standard SLA.

Weather Incident Action Plan PITCH PROTOCOL ACTIVE

Our crew monitors National Weather Service radar and local lightning detection networks within 10 miles of any Austin athletic facility. When match officials signal an electrical storm delay, cameras and directional shotgun microphones are placed in moisture-sealed Peli transport cases until the official 30-minute all-clear whistle sounds.

Standard 03 // Studio Credit Rollover & Seasonal Retainers

Credit Rollover Rules for 3,000–7,500 USD Monthly Content Packages

Our monthly content packages (3,000 to 7,500 USD per month) operate under a 6-month minimum seasonal contract, providing clubs with 8 to 18 studio production credits per month. Each credit covers a calibrated unit of editorial work: 1 credit equals 1 hour of desk reporting or post-production editing (150 USD basis), 3 credits equal a 444 USD vertical video reel, and 3.5 credits cover a 500 USD mini photo/video shoot.

We understand that match schedules are uneven. An academy might play six tournament matches in October and only two friendly matches in December during winter break. We do not confiscate unused credits at the end of the month. Unused studio production credits roll over automatically for up to 45 calendar days, allowing clubs to bank credits for intense playoff weekends, state championships, or pre-season media day rosters.

Rollover credits must be deployed within the active 6-month contractual term. If a club terminates its contract early, unexpended credits cannot be redeemed for cash, but all finished media and high-resolution master archives remain the property of the club under non-exclusive royalty-free license.

Editorial Fact-Checking and Video Post-Production Revisions

Sports editorial production requires razor-sharp accuracy. Misspelling a center-back's surname or assigning a card to the wrong player damages club credibility. Under the direct supervision of editor Elena Petrova, every match report, roster profile, and graphic undergoes mandatory line-up verification against official match referee sheets.

For factual errors (incorrect jersey numbers, wrong goal minute markers, misspelled player names, or erroneous final score lines), Penalnaro issues instant corrections at zero additional cost. Corrected social graphics and web copy are replaced across your digital assets within 60 minutes of notification.

For creative video edits (vertical reels and highlight packages), every production includes two rounds of creative revisions within 7 days of delivery. This covers re-timing player transitions or adjusting audio and color balances. Revisions requested after 7 days, or stylistic changes that contradict the initial brief after approval, are billed at our standard post-production rate of 150 USD per hour.

Revision Boundary Policy 2 ROUNDS INCLUDED

What is included: Correction of player names, jersey numbers, minute timecodes, audio level balancing, and color adjustments. What is excluded: Re-shooting completed fixtures and editing unaccredited parent footage.

Standard 05 // Hardware Redundancy & Archival Backups

Dual-Card Ingest and Redundant Sideline Equipment

Memory card corruption and battery failures have ended the media efforts of amateur videographers. Penalnaro prevents single-point failure through rigid hardware redundancy. All pitchside camera bodies record simultaneously to dual CFexpress or UHS-II SD cards in dual-slot mirrored recording mode. If a memory card fails during a stoppage-time winning goal, a mirrored bit-for-bit duplicate exists instantly on the secondary card.

Our crew carries duplicate camera bodies, backup telephoto primes, secondary wireless lavalier receivers, and redundant 3-axis electronic gimbals to every field assignment. If a rain squall damages an active field microphone, a secondary backup unit is deployed within ninety seconds without interrupting matchday coverage.

All master raw footage, high-frame-rate 4K clips, color-graded exports, and high-resolution JPEG photos are preserved on local encrypted RAID storage and offsite cloud backups for a minimum of 180 days following each match. Clubs on active retainers receive 365-day archival retention at no surcharge.

Contract Inquiry

What happens if a pitchside camera operator is delayed by traffic on I-35 or misses the opening kickoff?

Question asked by competitive youth club director prior to signing a 6-month seasonal media agreement.

Elena Petrova // Media Director Response Binding Guarantee

Mandatory 60-Minute Pre-Match Arrival Protocol and Full Session Refund

Our call time for any Austin soccer venue, from Onion Creek Soccer Complex to Round Rock Multipurpose Complex, is strictly 60 minutes before scheduled kickoff. This hour provides time to verify referee rosters, check touchline wireless frequencies, set white balance against stadium floodlights, and photograph squad warmups.

In the highly improbable event that extreme road closures cause our crew to arrive after the opening whistle, Penalnaro immediately forfeits the session fee. The match is photographed and filmed at zero cost to the club, all captured assets are delivered under our urgent 4-hour SLA, and 100% of the session rate (500 USD for a mini session or 555 USD for a half-day) is credited directly to your next fixture.

We do not make excuses about Austin traffic. We build buffer windows into our match schedules so your club never misses a single matchday moment.
